This is a translation. The Dutch version is the binding one.

FulfilmentMatch helps webshops find a suitable fulfilment company. We process as little personal data as possible. Questions? Use the contact form.

When you connect a channel

When you connect your webshop, marketplace or shipping software, or upload an export, we read orders or shipments from the last 30 to 90 days once. Of that data we only use dates, quantities, weights, order totals, the destination country, the carrier and product titles. Where possible we don’t request the names, addresses, email addresses and phone numbers of your customers, and we never store them. Of everything we read, we only keep totals (your shop profile). We use API keys and access tokens for that one analysis and don’t store them. We delete your profile after 90 days, unless you request a quote.

When you request quotes or contact us

We store your name, email address, phone number (optional), company name, website and message. The fulfilment companies you choose at first only see your shop profile, your region (province) and a summary of your message, without your name, company name, website or contact details. Questions, answers and quotes go through your own request page; in messages we hide email addresses, phone numbers, links and your name. A chosen company only receives your contact details once you indicate this on your page, or when that company requests them to call you itself (you agree to this when you submit your request). Your page shows which company has your details. From that moment on, that company is itself responsible for its own follow-up. We keep requests and messages for two years.

Data about fulfilment companies

About fulfilment companies we show business information from public sources and from their own website (company name, address, phone number, services). Want something corrected or removed? Let us know through this form.

Payments from fulfilment companies to FulfilmentMatch go through Stripe. Stripe processes the payment and billing details; we only store the Stripe customer number and what was paid when.

If you manage your company’s profile in our portal, we email you a few tips during the first two weeks; reply "stop" and they stop. These emails and other series to fulfilment companies are sent through Amazon Simple Email Service (servers in Stockholm, Sweden). Amazon processes your email address and the content of the email for this.

Cookies and statistics

Your browser remembers the number of your match (local storage), so you can continue where you left off, and whether you have turned Google Analytics off. For each fulfilment company we anonymously count how often it is shown and clicked; this contains no personal data. Our web server keeps a technical log of which page was requested when, without IP address. If something goes wrong (an error or a blocked request), the server does record the IP address with it, for security. We delete both logs after 14 days.

If you connect Shopify from the English site, we set one functional cookie while you log in at Shopify (fm_connect_lang, at most 1 hour). It only remembers which language to bring you back to.

Our own count, without cookies. For every visitor we count which page is viewed. On the first page of a visit we also count the source (the domain of the site you came from, or the utm_source in the link) and whether you are on a mobile or a larger screen. In the match wizard we count which steps are taken (opened, channel connected, profile completed, matches viewed, quote requested) and from which page of our site you opened the wizard; the latter is stored with your match and disappears with it. We only keep totals per day, without IP address, browser details or a number per visitor, and we share nothing with others. That is why no consent is needed for this. We keep the totals for 25 months.

Google Analytics. We use Google Analytics 4 to measure how the site is used: which pages you view, where you come from and a few actions (connecting a channel, completing a match, requesting a quote, clicking through to a fulfilment company). On your request page and in the portal for fulfilment companies we also measure which features are used (sending a message, sending or declining a quote, sharing or viewing contact details, checking out), without the content. Google places cookies (_ga) for this. We don’t ask for this in advance; you can turn it off yourself.

Links in our emails carry a code (utm) that says which email and which button you came from, so we can see which emails work. We don’t measure whether you open an email: they contain no tracking pixels.

  • If you turn it off here, we no longer measure you with Google Analytics and we delete the Google cookies. Your browser remembers that choice. If you said no earlier in our cookie notice, it is already off for you.
  • We send no names, email addresses, order data, messages or the number of your match. We anonymise the addresses of match pages, and the personal link to your request and invitation links never go to Google.
  • Advertising features and Google signals are off; we share nothing for advertising.
  • Google Analytics does not store IP addresses. Data is kept for at most 14 months.

The widget on fulfilment companies’ websites

Fulfilment companies can put our widget (their score and a link to their profile) on their own website. The widget sets no cookies and uses no local storage. When it is shown, it only sends us: which company, the format, the domain name and the path of the page (without parameters). We use that to count how often the widget is shown and to check weekly whether the link is on that page. We store no IP addresses or other visitor data in the process. If you click through, we count that click anonymously.

If you do a fit check through the widget or a profile (does your webshop suit this company?), it works like a normal match: we only keep the totals of your shop profile. The fulfilment company sees a summary of all checks combined (from 5 checks, never per webshop). Only if you request a quote yourself do we share your contact details and shop profile with that one company.

Where is the data stored?

On our own server in a data centre in the EU.
